1. Information We Collect
Information You Provide
When you use the Service, we collect information you provide directly, such as:
- Account information: Name, email address, and optional profile details (such as a photo). Sign-in credentials are handled by our authentication provider (Clerk); we do not store your password.
- Workspace and organization information: Organization name, workspace settings, team and roster membership, roles, and preferences you configure in the product.
- Billing information: If you subscribe to a paid plan or purchase AI credits, payment details are collected and processed by Stripe. We do not store full payment card numbers.
- Communication data: Messages you send us via email, in-app support (including Intercom when enabled), or other support channels.
- Invitations: Contact details for people you invite to join a workspace, used only to send and manage those invitations.
Your Content
You may enter, upload, or generate materials in the Service, including events, bookings, tours, contacts, messages, documents, contracts, invoices, settlements, runsheets, ticket reports, attachments, and related business data ("Content"). Visibility depends on your workspace settings, roster sharing, party relationships, and actions you take (such as creating share links).
We may access your Content only to:
- Provide, maintain, secure, and improve the Service
- Operate features you request (including AI-assisted workflows)
- Train and improve Muzeek's proprietary AI models, subject to the conditions described in Section 2 (AI and Machine Learning)
- Resolve support requests and investigate terms violations
- Comply with legal obligations
- Perform security audits and diagnostics
- Analyze usage in aggregated or de-identified form that does not identify you
Inbound Email (M)
If you enable inbound email processing, email messages and attachments you send or forward to your workspace inbound address may be received, stored, and processed—including by AI—to create or update bookings, events, and related records. You can disable this feature in Settings.
2. AI and Machine Learning
Muzeek includes AI features (assistant chat, document and message drafting, inbound email processing, extraction, and optional web discovery) to help with live-music operations.
How AI Processing Works
- AI Features are powered by a combination of Muzeek's proprietary models and third-party AI service providers. Requests may be processed by either or both, depending on the feature and context.
- Content and context needed for a feature (for example, booking details, document text, or chat messages) may be sent to these services to generate a response.
- Assistant chat threads are stored in our database so you can view history and continue conversations. Other AI outputs may also be stored as part of your workspace records.
- Paid plans may include prepaid AI credits; usage is metered and reconciled with Stripe for billing.
- Muzeek may use your Content to train and improve its proprietary AI models. Free plan accounts are opted in by default. Paid plan subscribers may opt out of AI model training at any time through workspace Settings. For full details, see the Terms of Service (https://muzeek.ai/terms).
- Where third-party providers are used, processing of your Content is governed by each provider's own data and privacy policies. On eligible paid plans, Privacy Mode enables zero data retention settings where supported by providers, giving you additional control over how your data is handled.
Privacy Mode (Assistant)
On eligible paid plans, you may turn on Privacy mode for an individual assistant chat. When enabled, eligible AI requests use zero data retention settings where supported, and web discovery is disabled for that chat. Privacy mode does not apply to all AI features (for example, inbound email processing, reminders, or document generation may still use AI without that setting).
Your Choices
- You can disable inbound email (M) processing in Settings.
- You can use Privacy mode per assistant chat where your plan includes it.
- You can opt out of AI model training on paid plans through workspace Settings.
- You can avoid enabling web discovery in the assistant when you do not want queries sent to external search services.
3. Information Collected Automatically
When you use the Service, we and our providers may collect:
- Log and usage data: IP address, browser type, device type, pages viewed, actions taken, referring URLs, and timestamps.
- Product and error telemetry: Performance and error reports (for example, via Vercel Analytics, Speed Insights, and Sentry), which may include session or user identifiers needed to diagnose issues.
- Venue and address search: Search terms and place identifiers you enter for venue or location fields, processed via Google Maps APIs to suggest and validate addresses. We do not collect GPS location from your device through the Service.
- Email delivery metadata: Delivery and bounce status for emails we send. We do not use open-tracking pixels on outbound email.
4. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember preferences, measure product usage, provide support chat, and protect the Service. Muzeek does not serve third-party advertising cookies.
Examples include: session cookies from Clerk (authentication), Vercel Analytics, Vercel Speed Insights, Sentry, and Intercom (when loaded). You can control many cookies through your browser settings; disabling cookies may limit sign-in or certain features.
5. How We Use Your Information
- Provide, operate, and improve the Service
- Process subscriptions, invoices, and AI credit purchases
- Authenticate users and enforce workspace access controls
- Train and improve Muzeek's proprietary AI models, subject to plan type and your settings (see Section 2)
- Send transactional email (confirmations, notifications, shared links you request)
- Provide support and respond to inquiries
- Send optional product or marketing communications (you may opt out where offered)
- Monitor security, prevent abuse, and debug errors
- Comply with law and respond to lawful requests
6. How We Share Your Information
We do not sell your personal information.
With Your Direction
- Other members of your workspace or roster, according to roles and sharing settings you or your administrators configure.
- Recipients of tokenized share links you create (for example, public invoice, settlement, booking, document, runsheet, or report links). Anyone with the link may access the scoped information in that link.
- Third-party integrations you connect or use (for example, Xero, ticketing providers, or e-signing), according to your configuration.
- Applications that access the Service with an API key you create, within the permissions you grant.
Service Providers (Subprocessors)
We use trusted providers to host and operate the Service. They process data on our instructions and under contractual confidentiality and security obligations. Key categories include:
- Authentication: Clerk
- Hosting and infrastructure: Vercel
- Database and file storage: Supabase / PostgreSQL
- Payments and AI metering: Stripe
- Email: Resend (outbound and inbound)
- Error monitoring: Sentry
- Product analytics: Vercel Analytics and Speed Insights
- Customer support: Intercom
- Maps: Google Maps Platform
- E-signing: Documenso (when you use signing features)
- Accounting sync: Xero (when you connect an integration)
- Caching: Upstash Redis
- Ticketing integrations: Providers you connect (for example, Eventbrite or Moshtix), when enabled
For Legal and Safety Reasons
- To comply with law, regulation, legal process, or governmental request
- To protect the rights, property, or safety of Muzeek, our users, or others
Business Transfers
If we are involved in a merger, acquisition, or sale of assets, your information may transfer to the successor under the same privacy commitments.
Aggregated or De-Identified Data
We may share statistics or trends that do not reasonably identify individuals.
7. Your Rights and Choices
Depending on where you live (for example, Australia, California, the EU, or the UK), you may have rights to access, correct, delete, restrict, or object to certain processing, withdraw consent where processing is consent-based, request portability, or lodge a complaint with a regulator.
To exercise these rights, email support@muzeek.ai from the address associated with your account. We may need to verify your identity. We aim to respond within a reasonable period required by applicable law. Automated self-service export is not yet available for all data types; we will handle requests manually.
You may delete your organization from workspace Settings where that option is offered; some data may remain in backups or logs for a limited period as described below.
8. Data Retention
We retain information while your account is active and as needed to provide the Service, resolve disputes, enforce agreements, and meet legal obligations. After deletion, we may retain certain records in encrypted backups, audit logs, or billing records for a limited time.
9. Data Security
We use measures such as encrypted connections (HTTPS/TLS), access controls, account isolation, and industry-standard hosting environments. No method of transmission or storage is completely secure; please use caution with sensitive information.
10. Children's Privacy
The Service is intended for business users and is not directed to children under 13 (or under 16 where applicable law requires). We do not knowingly collect personal information from children. Contact support@muzeek.ai if you believe we have done so.
11. International Data Transfers
We are based in Australia. Your information may be stored or processed in Australia, the United States, or other countries where we or our service providers operate. Where required by law, we use appropriate safeguards (such as Standard Contractual Clauses) with relevant providers.
12. Third-Party Links and Services
The Service may link to third-party sites or services. Their privacy practices are governed by their own policies, not this one.
13. Do Not Track
Some browsers send a "Do Not Track" signal. There is no common industry standard for responding to these signals, and the Service does not respond to them today.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Continued use after the effective date of an update means you accept the revised policy.
